A business e-mail that stays with the client and the sales process.

Butiga links existing business email accounts with clients, contacts, opportunities, offers and tasks. The team sees the relevant context of the conversation, answers from the corresponding address and immediately knows who owns the next step.

Business email in Butiga stays connected to sales. A connected Gmail or supported IMAP/SMTP account keeps its existing address, while messages gain CRM context: customer, contact, opportunity, quote and next commitment. Conversations no longer remain locked in one person's private inbox, and colleagues continuing the work do not have to reconstruct the entire history from forwarded messages.

What email with CRM context means

When a message belongs to a specific customer, it is more than an inbox item. You can check who owns the relationship, the opportunity's stage, the active quote and the agreed next step. The salesperson replies within the same workflow used to manage the deal, while the manager gains visibility without requesting reports through private correspondence.

  • Your existing business address.
Connect Gmail or a supported standard IMAP/SMTP account. Butiga does not ask you to change an email address that customers already know.
  • Multiple accounts and the right sender.
A user or team can connect multiple business accounts and choose which account sends the message.
  • Folders and synchronization.
Access supported folders and synchronized messages, with the clear status of the associated account.
  • Replies, forwarding and attachments.
Continue the conversation, forward the message, or send the document without leaving the business process.
  • Signatures and e-mail templates.
Use the connected account's signature and prepared messages for recurring sales situations.
  • The client and the next step.
Connect communication to the customer record, then immediately record a task, owner and deadline.

Incoming messages receive suggestions, not automatic decisions

The incoming mail assistant can summarise a new reply, suggest the lead or opportunity it belongs to and propose a reasonable next step. Suggestions use the sender, subject and existing sales context, but do not independently change the CRM record.

  • A summary without quoted history.
Focus is on a new part of the message, instead of on the whole chain of previous answers and signatures.
  • Candidates with an explanation.
Butiga shows possible leads and opportunities, a confidence level and the reasons for the suggested links.
  • Confirmation before change.
The user chooses to apply or reject the proposal. Without explicit confirmation, no new activity is created or the next step is changed.

From incoming message to organised follow-up

An illustrative example of the process

  1. Client responds to previous message. The team sees the new communication in the connected business account.
  2. The seller opens a client record. Alongside the conversation, they check the contact, open opportunity and latest quote version.
  3. They reply from the right address. Can use the prepared template, adjust the text and add an attachment.
  4. Make a note of what's next. Creates a task, assigns the owner and writes the deadline for the next contact.
  5. A colleague sees the same context. If another person takes over, they do not start with an empty inbox or a verbal explanation.

Gmail and Standard IMAP/SMTP Accounts

Gmail uses the supported account connection method. For other business providers, Butiga supports standard IMAP/SMTP settings where the provider permits them. The availability of individual folders and the synchronisation method depend on the email provider's capabilities and configuration.

Does Butiga replace the existing inbox?

You do not change your address or ask customers to communicate differently. Butiga connects business email with sales records so relevant communication becomes part of the process, rather than isolated information in one application.

Can more people see every message?

Access depends on user roles, connected accounts and team rules. The aim is to make the business communication needed to manage a customer available to authorised people, without opening every private message to everyone.

Who business email in Butiga is for

  • Sales teams
managing several opportunities and needing to know who last wrote to the customer.
  • Service businesses
where email conversations determine the scope, deadline and quote content.
  • Agencies and consultants
managing several customers, attachments and versions of an agreement in parallel.
  • Field salespeople
who also need communication and upcoming commitments on an Android phone.

When you need a regular email client

If one person handles a small number of conversations without a pipeline, quotes, opportunity owners or work handoff, a standard email client may be enough. Butiga makes sense when a message needs to initiate or explain a specific sales step.

How to assess whether this solves your problem

Take one recently lost or delayed deal and check where context was missing. Did a reply stay in an absent colleague's inbox? Was the sent quote unclear? Did follow-up lack an owner and deadline? During a demo, we can walk through that example in Butiga without an abstract list of options.
